Effective August 23, 2026
Privacy Policy
This policy explains how Adroited LLC (“we,” “us,” or “our”) collects, uses, discloses, and protects personal information when providing Ironwood and related websites, applications, portals, communications, and support services (the “Services”).
1. Information we collect
Information you or a tenant provides
- Account and organization information, including names, business contact details, login identifiers, roles, permissions, locations, and subscription records.
- Customer and job information, including leads, contacts, property addresses, site conditions, tree and asset records, estimates, agreements, invoices, payments, requests, notes, photos, files, and portal activity.
- Workforce information, including employee and contractor contact details, assignments, skills, certifications, availability, time entries, PTO, training, safety records, compensation, payroll elections, and provider identifiers.
- Communications, including email, text messages, call metadata and recordings when enabled and lawfully configured, support requests, notifications, and message-consent records.
- Documents and signatures, including uploaded files, document fields, signer names and email addresses, signing order, timestamps, IP address, browser information, and an audit history used to evidence a transaction.
- Integration settings and credentials for services a tenant chooses to connect. Secrets are stored in encrypted form where supported and are not displayed back in ordinary screens.
Information collected automatically
We collect device, browser, IP address, request, session, authentication, error, security, and audit-log information. Tenant-configured lead attribution may also record landing pages, referring pages, campaign parameters, and a pseudonymous visitor identifier. Location may be stored when a user supplies it, when a tenant records a job or asset location, or when a feature explicitly requests device location.
Information from other services
At a tenant’s direction, we may receive information from connected services such as payment processors, accounting systems, mapping providers, phone and messaging providers, email providers, payroll providers, webhooks, and identity or business applications.
2. How we use information
We use personal information to provide and secure accounts; operate customer and contractor portals; manage work, schedules, crews, equipment, communications, documents, billing, payroll workflows, reporting, and automations; calculate routes, estimates, costs, and operational recommendations; process subscriptions; deliver support; detect abuse; maintain audit evidence; comply with law; and improve the Services.
Automated suggestions and calculations support human decision-making. Tenants remain responsible for reviewing quotes, schedules, payroll, taxes, safety decisions, communications, and other consequential actions before relying on or sending them.
3. How information is disclosed
We may disclose information:
- to the tenant that controls the workspace and to its authorized users, customers, contractors, signers, and assignment groups according to configured permissions;
- to vendors that host, secure, maintain, support, or deliver the Services, subject to appropriate contractual restrictions;
- to third-party integrations selected by a tenant, such as Stripe, QuickBooks, Google Maps, Twilio, email providers, and payroll providers;
- when required by law or reasonably necessary to protect rights, safety, security, and the integrity of the Services; and
- in connection with a merger, financing, acquisition, reorganization, or sale of business assets, subject to applicable law.
We do not sell personal information or share it for cross-context behavioral advertising. If that practice changes, we will update this policy and provide legally required choices before doing so.
4. Payments and financial information
Subscription payment-card details are collected by our payment processor rather than stored in the Services. Tenants may record invoices, payment status, account mappings, expenses, payroll figures, and similar business records. Connected accounting, payment, and payroll providers process information under their own terms and privacy notices.
5. Cookies and similar technology
We use cookies and local storage needed for authentication, security, CSRF protection, session continuity, interface preferences, and saved workspace choices. Tenant-configured attribution features may use a pseudonymous visitor key to connect visits with a later inquiry. We do not use these technologies to sell personal information or run cross-site behavioral advertising.
6. Communications
We and tenants may send transactional messages about accounts, estimates, appointments, work, documents, invoices, security, and support. Marketing email must include required identification and opt-out methods. Texting and calling features must be configured and used by each tenant with legally sufficient consent. Recipients may revoke consent through reasonable methods, including replying STOP where supported. Message and data rates may apply.
7. Data retention
We retain information while needed to provide the Services and for legitimate business, security, audit, backup, dispute-resolution, and legal purposes. Retention varies by record type, tenant instructions, contractual requirements, and applicable law. Deletion requests may not remove records that must be retained for accounting, payroll, safety, fraud prevention, legal claims, signature evidence, or immutable audit history. Backup copies are removed through normal backup rotation.
8. Security
We use administrative, technical, and organizational safeguards designed for the nature of the information, including tenant and permission boundaries, encryption for supported credentials, audit logging, and access controls. No system is perfectly secure. Account administrators are responsible for assigning appropriate permissions, removing former users, protecting credentials, configuring integrations safely, and promptly reporting suspected misuse.
9. Your choices and privacy rights
Depending on where you live and subject to legal exceptions, you may have rights to request access, correction, deletion, or a copy of personal information; to limit or object to certain processing; to opt out of sale, sharing, targeted advertising, or certain profiling; and to appeal a denied request. You will not be discriminated against for exercising an applicable right.
Submit a request to support@adroited.com. Describe your relationship to the Services and the tenant involved. We may need to verify your identity and authority. When a tenant controls the requested records, we may direct the request to that tenant or assist it in responding. We currently have no sale or cross-context sharing to opt out of.
10. Children
The Services are intended for businesses and are not directed to children under 13. We do not knowingly collect personal information directly from children under 13. Tenants must not use the Services to collect children’s information unless they have a lawful basis and all required notices and permissions.
11. U.S. operation and international use
The Services are operated from the United States. If information is submitted from another country, it may be processed in the United States and other locations used by our service providers. Tenants using the Services outside the United States are responsible for determining whether additional contractual or legal safeguards are required.
12. Changes to this policy
We may update this policy as the Services or law changes. We will post the revised policy with a new effective date and provide additional notice when required. Material changes do not apply retroactively where prohibited.
